Logistics
There is no fee for the workshop. We will provide help with travel costs so that the out-of-pocket expenses, compared to not attending the workshop, will be minimal. The planned level of support is:
- For local participants1, those who live / work in or around Pasadena, meals and refreshments during the workshop.
- For those coming from out of town2), meals as above, hotel accommodation for three nights - July 9th to 12th - as part of a workshop block booking, plus reimbursement for domestic flights, or alternative transport, up to $500 or thereabouts2. International flights should be similarly covered, but only if booked with a US carrier or code share (see below).
1. For the purposes of the workshop we are defining 'local' as addresses that are up to one hour drive approx. from Pasadena, one way, with normal traffic.
2. The exact amount of support available for transport costs will depend on the number of participants who are / are not traveling into the LA area specially for the workshop. There is a certain amount of flexibility though. So if your needs or requirements for attending the workshop differ from what is outlined here, then please contact us.
Room and board
For those coming from out of town, we are reserving a block of rooms at the GreenTree Pasadena Inn, which is located approximately 1.5 miles west of the workshop location. The hotel is within walking distance of shops and restaurants in Old Town Pasadena, and The Paseo on Colorado Blvd (see this map). Parking is free and breakfast is included. So that we can provide the hotel with a list of guests, we will ask that you confirm your participation in the workshop by sending your flight reservation, or similar.
Transportation
Please see the Directions page on Caltech website for a summary of travel options from outside Pasadena. Although Bob Hope (Burbank) Airport is closer to Caltech, flying into LAX will be more convenient for most people. For budgeting purposes we ask that you send your flight reservation, or at least an estimate of the cost, as soon as possible.
Important: in order to qualify for reimbursement, any flight must be booked on a US air carrier or code share; see the Fly America Act. We will not make any exceptions. So, if you are unsure, please check with us before booking your flight (particularly if the flight originates outside the contiguous US).
Subsistence
Lunch and refreshments during the workshop will be provided for all participants. Other meals, including dinner and those consumed during transit, are at your own expense. Please let us know during registration if you have specific dietary requirements.
